Our Supplier Supply Chain Security Policy, aligned with guidelines of ISO 28000:2022, ensures that every supplier we work with should meet the highest global standards of safety, legality, and cargo integrity. From verified sourcing and UN-compliant packaging to route monitoring and post-delivery audits, they must maintain complete transparency and traceability across all movements. This rigorous framework safeguards not only the quality of the chemicals we supply but also the confidence and peace of mind of our valued buyers worldwide.
Supplier Obligations
Each supplier agrees to the following mandatory requirements:
1.1 Legal & Regulatory Compliance
Adhere to all international, national, and local laws governing chemical trade, transport, and storage.
Maintain valid licenses, export/import permits, and DG (Dangerous Goods) certifications.
Comply with UN, IMDG, REACH, GHS, and local hazardous cargo regulations.
Ensure all exports meet end-use and sanctions compliance (e.g., no dual-use or embargoed goods).
1.2 Security Compliance & Background Verification
Undergo supplier security verification including ownership traceability, compliance history, and reputation screening (via SAMR, Tianyancha, or third-party auditors in China).
Maintain records of past compliance performance, ISO certifications, or corrective action history.
Notify immediately of any security breach, smuggling incident, or regulatory non-conformance.
1.3 Cargo Integrity & Packaging
Ensure all cargo is packed in UN-certified containers suitable for chemical transport.
Provide UN number, hazard class, packaging group, and correct labeling as per international DG standards.
Maintain a seal verification protocol — seals must be uniquely numbered, recorded, and photo-documented.
Provide photos and inspection checklists before shipment dispatch.
1.4 Route Risk Management & Secure Freight Routing
Participate in route risk assessments (identifying high-risk transshipment points, theft-prone routes, or customs delays).
Use only approved, security-vetted carriers for cargo movement.
Ensure container locks, GPS tracking devices, or smart seals are installed on high-value or DG shipments.
Maintain 24/7 route monitoring and incident reporting capabilities.
1.5 Document & Data Security
Maintain digital access control for all sensitive documents (invoices, MSDS, COA, shipping papers).
Ensure encryption, timestamping, and controlled user access to prevent tampering.
Retain shipment-related documents for a minimum of 5 years for traceability.
Do not share Pentalloyd documentation with unauthorized third parties.
1.6 Inspection & Verification
Permit pre-shipment and random third-party inspections by Pentalloyd or authorized agents.
Maintain an inspection log (date, time, inspector name, location, photo set, and seal number).
Provide digital evidence (images, timestamps, GPS data) of cargo readiness and handover.
1.7 Incident Reporting & Corrective Action
Immediately report any incident related to:
Cargo theft, loss, or tampering
Customs seizure or security alert
Transport delay exceeding 48 hours
Maintain a Corrective Action Record (CAR) system with root cause and preventive measures.
1.8 Post-Delivery Review & Continuous Improvement
Cooperate in post-delivery audits and buyer feedback sessions.
Support periodic performance reviews covering compliance, punctuality, and incident frequency.
Commit to continuous improvement through security training, digital traceability adoption, and performance reporting.
